• Perform monthly reconciliations of our bank accounts, credit line and debt service • Monitor day-to-day financial processes and ensure appropriate internal control • Lead the month-end close and ensure the accounting data is ready for monthly budget-to-actual

variance report, support the variance analysis • Monitor revenue streams and develop/update cash flow projections and monitoring cash positions for

The mission of KIPP Philadelphia Schools (KPS) is to develop the character, knowledge, and skills of our students so

they will succeed in college, giving them the freedom to shape their futures and positively affect their

communities. Our vision is to achieve our mission at critical mass – a cluster of schools in Philadelphia – thereby

reinvigorating public education in this city through the performance of our students and the leadership of our

educators. Within the next eight years, KIPP programming in Philadelphia will include ten schools, over 4,400

students, over 370 employees, and an operating budget greater than 60MM.

Position Overview Reporting to the Chief Operating Officer, the Director of School Operations will provide financial and operational

guidance and support to all KPS schools to help them attain financial and operational excellence. As an

operations leader, he/she will actively lead and/or participate in regional initiatives to design, implement, and

monitor systems and practices that enhance organizational efficiency and KPS’ scalability.

Responsibilities of the position include:

Financial Management o Strategic Financial planning

o Maintain fidelity and accuracy of financial model o Develop regional financial goals and processes to support growth o Vendor management

o Secure and manage contracts for region-wide support services including accounting platforms, employee

benefits, payroll, nursing, and food service. o Vendor identification, price comparison and negotiation, and supporting DOO in managing

vendor relationships o Analyze and synthesize monthly financial statements for the region, in collaboration with the Controller;

o prepare and present region’s finances to Board of Directors (monthly and quarterly) o Monthly meet with SL to review finances

o Plan, track and manage the budget for the region, and make recommendations to the School Leaders

throughout the financial planning process o Support the acquisition and planning for new facilities and sizeable equipment and technology,

determining cost-effective solutions related to the expansion of the region o Manage real estate financing plans o Support COO in Real Estate strategy

o Manage ACCESS program cost reporting and reimbursement filing. o Participate in and contribute to the regional strategic planning and growth process

Systems and Infrastructure

o Support Directors of Operations and Office Managers to ensure all school year start-up supply needs are

met (furniture/equipment/ school supplies)

o Coordinate the School Meal Program for KPCS/KPEA/KDCA: Point of contact for vendor, manage Point-of-

Sale data maintenance (PowerLunch), coordinate school invoicing processes and protocols, provide

support with compliance requirements and manage NSLP reporting.

o Support schools in vendor contract negotiation

o Coordinate with Finance Team for collection and maintenance of appropriate paperwork for Independent

Contractors

Human Resources

o Ensure that staff records are complete and properly maintained/updated

o Ensure that staff information is accurately tracked and update in PowerSchool

o Ensure schools’ compliance with all local, state, federal requirements with respect to Personnel Information

o Serve as main contact in matters pertaining to personnel policies, benefits, and certification requirements

o Review and approve Payroll for all schools and Regional Office.

o Provide support to Directors of Operations at schools for Payroll preparation

o Manage Staff Onboarding Processes

o Prepare Offer Letters and Salary Statement Letters for new and returning staff members

Professional Development/Regional FinOps Alignment

o Co-Create and present, with COO, monthly operations webinars to the school-based ops team

o Weekly meetings with the Directors of Ops and Office Managers to support them with their operational and

professional needs

o Create/Revise Regional Process Documents for School Operations staff (Meal Program (upcoming),

Student Enrollment, Student Registration, SCN, School Start-Up (upcoming)

Management

o Manage Finance Team – Controller and Accounting Associate – and support them in achieving their

strategic goals.

o Dotted line management of Directors of Operations (School Operations Staff)

Regional Scope

o Support Regional Office functional teams in projects needing ops support (Finance with Student

information verification for claims/subsidy filing, Strategic Initiatives with Student and Staff Information for

reporting and grant filing)
